I use Microsoft Outlook as my email reader. I have placed all of the appropriate legislators I want to write to in a separate category named "Scum Sucking Politicians" :whistling: (Inserted Humor). You can name it whatever you want. I have their phone and fax numbers, as well as office addresses, web address, and email address. Legislators include federal, state, and local. I also include Gov/Mayor.

When getting a notification I usually copy the relevant information, open a MS Word document, paste the info and write the letter. I edit it enough to make it original. Then I go to tools, letters and mailings, and envelopes and labels. I then print the appropriate envelope, copy the address into the letter, edit heading, and print letter. Copy letter go to New Message in Outlook, paste, address, and send.

I follow the process for each legislator. After printing everything I then fax the letters one at a time, seal envelopes, stamp, and drop in the mail box.

My way is a tad cumbersome until you get the hang of it. It does take some time to set up too. But once done the process is pretty quick and you get a lot of bang for the buck with the cut and paste when you streamline it. It could be sped up when I get around to learning mail merge in MS Word.

Most email and editing programs will allow you to do do the same thing. If you use gmail or yahoo, i.e. you can open a new message, cut and paste, and personalize then send and open another one.

I tend to personalize each letter a little by address each legislator personally in the body of the letter. It shows I took the time to do that. Although, I have addressed the wrong letter to the wrong legislator before. I send to legislators who support or oppose my position. I wand to reinforce my opinion.
